Conditions of Entry
DEFINITIONS:

ENTRANTS:

PARTICIPANTS OF THE CAMP ENTER AND PARTICIPATE AT THEIR OWN RISK.
ENTRANTS ARE RESPONSIBLE FOR THEIR OWN BELONGINGS AT ALL TIMES.

Entrants must be aged between 8 to 25 years inclusive as of the 1st of April of that respective year.

Juniors: (8-12 years) must have a nominated adult for supervision for the duration of the camp. One adult per family is acceptable. Parents/Guardians must be onsite from 4pm to 7am, during the day is optional. Nominated guardians, are not permitted to be another entrant, including older siblings.

All entrants must remain in designated areas on the grounds for the duration of the camp. Official permission must be obtained from the WAYCA committee to leave the grounds. NO EXCEPTIONS.

DISRUPTIVE AND/OR INAPPROPRIATE BEHAVIOUR from an entrant will NOT be tolerated. The WAYCA Committee hold the power to take whatever action deemed necessary to handle any issues that arise, including immediate disqualification from the event and refusal to attend future camps.

THE USE OR POSSESSION OF PROHIBITED DRUGS OR ALCOHOL BY AN ENTRANT THROUGHOUT THE CAMP WILL NOT BE TOLERATED. Breaching these rules will result in immediate disqualification, being asked to immediately leave the grounds and will not be permitted to enter future camps.

Entrants are NOT allowed to operate a motor vehicle during the camp. Any unauthorised movement of a vehicle during the camp will not be tolerated. Vehicles must be parked onsite no later than 8am Thursday morning, and are not permitted to leave until the conclusion of camp on the Saturday afternoon.

Appropriate footwear must be worn at all times. NO OPEN SHOES. This includes dinner time.

All entrants must sleep on the grounds for the duration of the camp. Juniors, or participants with parents onsite are permitted to camp with parents in caravans/campers IF a camping application has been completed during their application and parents remain on site for supervision. Entrants over 18 years of age are permitted to camp onsite IF a camping application has been completed during their application. Camp sites will be allocated at the discretion of the WAYCA committee and entrants are not permitted to change camp sites under any circumstance. All other participants will camp in the Recreational Centre on the grounds.

Mobile phones may be brought to the camp but are ONLY PERMITTED AT DINNER TIME. Exceptions made for emergencies or medical purposes. Entrants seen on their phones during the day will result in having them confiscated. This is a safety matter when handling livestock.

Entrants over 18 years of age must hold a current Working with Childrens card, or be able to show proof of receipt for a submitted application for a WWC card prior to camp. Entrants over 18 who fail to provide a WWC will not be permitted to attend the camp.
COSTS:

Entry Fee: $300 for single competitor subject to all age groups.

Ballot Animal: $50 animal hire fee applies in addition to the entry fee if entrants can not source their own animal.

Live in parents: $100 per adult for meals for the duration of the camp (this can be paid with the entry fee or at camp)

Day Visitors: $50 per day for meals
REFUND POLICY:

If the Camp is cancelled by the WAYCA, a 100% refund will be provided to all fully paid entrants within 30 days of notice of cancellation.

If a participant/guardian wishes to withdraw their/their child's enrollment this should be done so in writing to enrolments@wayca.org and a refund will be provided in the following circumstances.

100% refund for withdrawals received within 30 days of enrolment opening date, up to and including 1st January 2025.​

50% refund for withdrawals received from the 2nd January 2025 up to and including 1st March 2025.
-
NO REFUND will be given for withdrawals received after the 1st March 2025 or for 'no-shows' at camp.
3. A full refund will be provided if the entrant cannot attend due to unforeseen medical grounds, up to and including the 27th
March 2025, in which case a medical certificate is required with the written notice of withdrawal.

EVENT MANAGEMENT:

The control and management of the camp is at the discretion of the WAYCA committee. The committee’s decisions shall be final.

The committee reserves to right to deal with any incident or situation that may arise.

Any application for refunds or complaints regarding the WAYCC will be accepted in writing only. Any application for refunds or complaints will be addressed at the next scheduled committee meeting.

INSURANCE and PUBLIC LIABILITY are the responsibility of the OWNER of the animal. Any damage to private vehicles within the showground’s boundaries will be at the owners risk.

All electrical appliances brought to the camp must be in sound, working order and have the appropriate safety tag. The use of double adaptors is strictly PROHIBITED. Entrants bringing their own clippers and blowers must supply their own “safety switch” (RCD) for each power outlet they use.

In the case of an emergency, the WAYCA reserve the right to contact emergency services including police, fire brigade and St John ambulance.
ANIMALS:

Entrants may exhibit one animal, heifer or steer from any breed, beef or dairy for the duration of the camp.

The committee reserve the right to utilize an animal for training purposes during the camp.

If requiring a ballot animal for the camp, there is a $50 animal hire fee. This fee is to be included with the entry costs. Entrants are encouraged to source their own animal prior to the event as there is no guarantee the camp is able to secure one.

To be eligible for entry, heifers and steers must be a minimum of 6 months of age and not exceed 22 months of age.

Heifers are permitted to be joined, but not allowed to exceed 7 months gestation or have a calf at foot.

ALL EXHIBITS MUST HAVE AN ACCEPTABLE TEMPERAMENT AND BE BROKEN TO TIE UP AND LEAD.

Any exhibitors found administering sedatives to their animal will face immediate disqualification.

All animals are to be dehorned (maximum 5cm length) and steers are to be properly castrated. NO BULLS.

During the camp, animals must be attended to and prepared by the entrants only. Juniors will be provided assistance. Assistance from parents or external professionals during the competition is not permitted and may lead to entrant disqualification.

Nose clips and leads are COMPULSORY at all times when cattle are being led (dairy exception). Any exception to this will be at the discretion of the committee. The camp will provide nose clips and leads for the event.

Exhibitors are to provide their own halters, neck straps, and feed buckets if required. Individual water buckets and hay will be supplied by the WAYCC. Neck straps must be fitted to animals at ALL TIMES WHEN IN THE SHEDS, this includes Wednesday night prior to camp commencing.

Exhibitors are responsible for ensuring all animals possess a NLIS tag. Any exhibit without a NLIS tag will be automatically disqualified from the event, therefore the entrant will also be disqualified. NLIS tag numbers and management tag numbers must be recorded on the cattle detail form.

All exhibits must be Pestivirus (BVDV) PI tested with negative results prior to entering the showgrounds, with results submitted to the committee PRIOR to the camp.

Any exhibit found infected with RINGWORM can still be brought to the camp provided a Veterinary certificate is supplied stating the animal has been seen to and treated. It must also state the animal has been washed in the appropriate fungicide 4 days prior to the camp. Once at the camp the fungicide wash is to be conducted under the supervision of a committee member.

All exhibits must come from a JBAS 6 or above property. Contact the WAYCC if further information is required.

COMPETITIONS:

Junior Judging/ Handlers competition: entrants must be aged between 15 and 25 years as of the 30th June of that respective year to be eligible to compete in the RAS WA State Final competition. Entrants under 15 will qualify for a separate RAS WA competition.

The Christopher Ferguson Memorial Award for the Highest Beef Achiever: A travel bursary to the value of $2000 to compete at a chosen Youth event around Australia.

WAYCC Highest Dairy Achiever: A travel bursary to the value of $2000 to compete at a chosen Dairy event around Australia.

Highest achiever recipients must be over the age of 16 at the time of camp, and must submit a request to the WAYCA with their chosen event they wish to attend, before the travel bursary funds are transferred.

The Highest achiever travel bursary must be utilized within 12 months of the Cattle Camp.

CAMPING:
​
1. Entrants over the age of 18 years are permitted to camp onsite in a camper or caravan in a designated camping spot IF a camping application has been completed with their application.
2. Parents are welcome to camp onsite in a designated camping site for the duration of the camp (live-in fee applies for meals).
3. Entrants under 18 years of age are permitted to camp onsite WITH PARENTS ONLY. All entrants whose parents are not present must stay in the recreational centre, males and females in separate areas.
4. Entrants over 18 years of age camping onsite are NOT permitted to act as guardians and sign out other entrants to camp.
5. Entrants are not permitted to camp with helpers/camp volunteers and must use shower facilities in rec centre or camping area (Alan Evans complex shower is for helpers only).
6. Juniors (under 12 years) are encouraged to camp with parents.
Entrants camping are NOT permitted to change/move camping areas under any circumstances without obtaining permission from the WAYCA committee.
7. NO ENTRANT IS PERMITTED TO STAY OFFSITE.
